Job Description Summary
The Senior Business Administrator/Business Administrator B is an integral member of the Market Street Regional Business Office (MSRBO) within the School of Arts and Sciences. The Market Street RBO supports the unique business needs of 26 departments, programs and centers. This position provides financial and administrative support to staff and program directors in the areas of financial analysis, reporting, budgeting, and transaction processing, with accuracy, efficiency, and process improvement in the forefront. SAS Finance staff is committed to supporting the academic mission of the School and the University by adding value through our work, finding solutions to operational challenges, and helping to prepare the School for tomorrow.

Job Description

The Business Administrator B (BA-B) will carry out a broad range of operational and transactional responsibilities, including HR and payroll, procurement, expense reimbursements, expense approvals, and individual service provider payments. Workday payroll responsibilities include instructional payroll, weekly payroll, monthly payroll, one-time payments, time sheet approvals, audit reporting, job requisition creation, and new hire onboarding process completion. Financial management responsibilities include monthly reconciliations for endowment, gift, and operating accounts, financial reporting, budget compliance analysis, and assisting with cyclical budgeting and forecasting. The BA-B is directly responsible for reviewing, processing, and auditing financial transactions, including procurement and payment requests (Penn Marketplace), reimbursements (Concur), purchasing card reallocation (JP Morgan PaymentNet), and journal entries (BEN Financials). The BA-B will regularly support Program Directors and other staff with inquiries and operational challenges. They will routinely meet with Program Directors and Coordinators to discuss programmatic needs. The BA-B will interface with SAS HR, Faculty Affairs, and department leadership to ensure all appointments are compliant with University policy.

A Senior Business Administrator will additionally be responsible for a broader scope of critical operational and financial responsibilities with very limited supervision, including a leadership role within SAS Finance, and providing guidance and coaching to client staff members in the face of evolving complexity.

Qualifications:

The successful candidate for the Business Administrator B position will have the following qualifications:
  • Bachelor of Science and 2 to 3 years of experience or equivalent combination of education and experience is required.
  • Excellent critical thinking, analytical, verbal and written communication is required
  • Ability to apply solid organizational and time management to a deadline driven, multiple priority work environment is required
  • Proficiency in Microsoft Excel is required
  • Excellent customer service skills and experience is required
  • Ability to solve problems independently
  • Familiarity with UPENN financial and HCM systems (BEN Financials, Business Objects, Concur, and Workday) is a plus


The successful candidate for the Senior Business Administrator position will additionally have the following qualifications:
  • Bachelor of Science and 3 to 5 years of experience or equivalent combination of education and experience is required.
  • The ideal candidate is a proactive, meticulous, and resourceful self-starter.
  • Grants management experience is preferred
  • Advanced proficiency with Microsoft Excel is required.
  • Ability to work both independently and cooperatively in a frequently changing environment
