Job Summary

Acts as the primary administrator for critical academic systems, ensuring seamless operation and policy compliance. Oversees and safeguards faculty records, aligning with university and regulatory standards, while supporting Academic Affairs with budget and payroll planning with accurate data insights. Responsible for implementing innovative strategies and solutions, translating academic needs into effective processes and system functionalities. This position manages recruitment, hiring, and policy updates for KSU's faculty. This role facilitates robust communication and collaboration between Academic Affairs, departments, and IT services, serving as a key liaison and problem-solver. Additionally, this role develops and delivers comprehensive training and support for faculty affairs initiatives.

Responsibilities

KEY RESPONSIBILITIES:
1. Oversees the day-to-day performance of the department data systems and technical initiatives, including the faculty hiring and search system(s), and faculty records maintenance
2. Translates business needs into functional specifications and leads the implementation of solutions within systems to support department activities
3. Serves as the primary administrator for the faculty applicant tracking system, maintains job posting templates, creates and reviews faculty job postings compliance following established policies and procedures
4. Acts as the liaison between Academic Affairs, academic colleges and departments, and UITS for all system-related issues and initiatives
5. Provides input and support on department-specific applications and application design strategy
6. Creates, manages, and maintains applicant tracking system processes, communications, and frequently asked questions, conducts faculty postings audits, and maintains the Position Action Form (PAF) process for faculty
7. Serves as the primary contact for faculty visa documentation requests
8. Implements and supports strategic policies for assigned systems
9. Serves as an advisor for the faculty professional activities tracking system
10. Monitors policy changes for faculty searches and hiring as well as other academic affairs related policies
11. Coordinates department name change and assigned system update and maintenance processes
12. Responsible for generating faculty contracts and part-time agreements
13. Serves as the primary contact for Endowed and/or Named Position Submissions and assists with terminal degree projects
14. Assists with data entry, data validation, and data stewardship for faculty information systems
15. Leads department required reporting such as recruiting data, IPEDS and/or EEO
16. Assists with annual budget preparations and produces and verifies faculty data for various systems, surveys, and reports
17. Works with Legal Affairs and Human Resources to address faculty challenges and facilitate the hiring process
18. Serves as the primary recruiter and reviewer in the faculty hiring system and backup to department leadership
19. Serves as the department liaison with the Affirmative Action Office and participates in various committees related to system replacement and emergency planning
20. Creates and maintains system training guides and conducts training sessions with campus constituents for the department's technical systems and processes
21. Completes special projects as directed by leadership, including administrative tasks and research assignments

Required Qualifications

Educational Requirements
Bachelor's degree from an accredited institution of higher education in a related field

Required Experience
Three (3) years of related work experience in higher education

Preferred Qualifications

Preferred Educational Qualifications
An advanced degree from an accredited institution of higher education in a related field

Preferred Experience
Experience working in higher education as a campus support member

KNOWLEDGE
Experience with faculty hiring and tracking systems, preferably in higher education settings
Familiarity with SACSCOC and other accreditation requirements

SKILLS
Excellent interpersonal, initiative, teamwork, problem-solving, independent judgment, organization, communication (verbal and written), time management, project management and presentation skills
Proficiency in data management and analysis tools
Proficient with computer applications and programs associated with the position (i.e., Microsoft Office suite)
Strong attention to detail and follow-up skills
Strong customer service skills and phone and e-mail etiquette
